Main Purpose of Job To provide administrative support for the Property Services Team, incorporating all the administrative systems.To receive, distribute and track all the work orders for the Property Services Team. Main Duties & Responsibilities 1 To take responsibility for the management and delivery of the administration for the team, ensuring that all financial and operational deadlines are met. 2 To design, implement and maintain effective administration processes and procedures to ensure a professional and prompt administrative service. 3 To receive work orders, ensuring their correct capture on the Maximo system, distribute them appropriately, and following this track them to ensure their completion and closure on the Maximo system. 4 To ensure clear communication between other services (including the Helpdesk) and the Property Services Team with regards to the progress of work orders and any incoming queries, and if appropriate provide liaison with the Client (as necessary). 5 To assistant with the management of the office, including ordering and managing the stationery for the Team. 6 To assist in the management of the sales invoicing and purchasing, and where necessary contact approved contractors abd obtain quotations and prices. 7 To design, implement and maintain a fully accurate stock system with a clear audit trail. 8 Proactive in developing an integrated and interactive accessible filing system. 9 To be effective in co-ordinating and ensuring that procedures are in place to support, monitor and process current purchase orders, so that the current status and expected bill time is easily identified in preparation for the month end process. 10 To comply with the Companys Policies, Management Plans and Procedures. 11 To fulfil Health & Safety responsibilities by adherence to the requirements of the Companys Health & Safety Policy and Health & Safety Management Plans. 12 To support the Companys Quality Policy Statement and actively participate in the achievement of Company and personal Quality objectives.
Applicants MUST have previous experiance working in Building Services or Facilities Management.
